Terms of Service

Effective date: October 1, 2026

These Terms of Service ("Terms") are a binding agreement between you and SynthGap ("we," "us," or "our"). They govern your access to and use of the SynthGap web application and related services (the "Service"). In these Terms, "SynthGap" means us and, where the context requires, the Service.

In short: SynthGap is a research tool that drafts; you decide. You own your work. Everything the Service produces is an AI-assisted draft that you must check before you rely on it or publish it. Paid plans renew automatically until you cancel, and you can cancel your subscription or delete your account yourself, in the app, in a couple of clicks. Please don't upload patient-identifiable information or documents you have no right to upload. This box is a convenience summary and is not part of the binding terms.

These Terms include and incorporate our Privacy Policy, Cookie Policy, Refund & Cancellation Policy, AI Output & Research Disclaimer, Copyright & DMCA Policy and Subprocessors list (together, the "Policies"). If you do not agree to these Terms and the Policies, do not create an account or use the Service.

1. Accepting these Terms

You accept these Terms by ticking the agreement box when you create your account. If you already had an account when these Terms were first published or later updated, you accept them by ticking the box when the Service asks you to, or by continuing to use the Service after we give you notice. We record which version you accepted and when.

2. The Service

SynthGap helps researchers conduct systematic reviews and meta-analyses. Depending on your plan, it can help you discover candidate topics; define a protocol and PICO question; draft a search strategy; screen titles, abstracts and full texts; extract data; assess risk of bias; run evidence-synthesis calculations (pooling, subgroup, sensitivity and publication-bias analyses, and certainty ratings); produce a PRISMA 2020 flow diagram and checklist; draft manuscript text; and assemble a submission package.

The Service uses artificial intelligence at several stages. It is a drafting and workflow aid, not an autonomous author and not a substitute for your own methodological and professional judgment. Every AI-generated output is a draft that you must review, verify and either confirm or override before you rely on it, publish it or submit it anywhere (see Section 8).

The Service is in beta. Features, limits and prices may change, and the Service may contain errors or be unavailable at times.

3. Eligibility

You must be at least 18 years old and able to form a binding contract. The Service is intended for professional and academic research use. If you use it on behalf of an organization, you confirm that you have authority to bind that organization, and "you" includes it.

5. Plans, fees and billing

Plans. The plans on offer are shown on our pricing page. As of the effective date they are:

A "run" is one discovery run that you start in the Service, including an "explore more" follow-up. Later workflow stages (such as screening, extraction and write-up) do not use up runs, but all use is subject to fair use (Section 6). Unused runs do not roll over. Quotas reset at the start of each new period: 30 days after your Free period began, or when your renewal payment succeeds on a paid plan.

Free plan output. On the Free plan each run returns a single topic, chosen from the lower-confidence end of what the run found. The strongest candidates are shown only on paid plans.

Billing. Paid plans are billed in advance through our payment processor, Stripe. Your card details go directly to Stripe; we do not receive or store them. By subscribing you authorize recurring charges at the plan's price and billing interval until you cancel.

Automatic renewal. Paid plans renew automatically at the end of each billing period (monthly or every three months) at the then-current price, unless you cancel before the renewal date. Before you are sent to checkout we show you the renewal terms for your plan and ask you to confirm them, and we keep a record of your confirmation (which plan, when, and which version of these Terms).

Cancelling. You can cancel at any time yourself: choose Account in the top bar, then Cancel subscription. Cancellation takes effect at the end of the billing period you have already paid for, and you can resume the subscription until then. You keep paid features until the period ends, after which your account moves to the Free plan. You do not need to contact us to cancel. (Your payment method and invoices are on the Stripe-hosted billing page, which Manage in the top bar opens.)

Price changes. We will give at least 30 days' notice (in the Service and, where we have your billing email, by email) before a price change applies to your next renewal. If you do not accept the new price, cancel before it takes effect.

Receipts and invoices. Every receipt and invoice is listed in the app under Account, and Stripe may also email a receipt for each payment to the billing email on your account.

Failed payments. If a payment fails, we show you a notice in the app, Stripe may email you, and Stripe retries the payment automatically. You keep your paid features while it retries, and you can update your payment method from the notice or from Manage. If the payment still cannot be collected, the subscription ends and your account moves to the Free plan.

Taxes. Prices are in US dollars. If we are required to collect sales, use, VAT or similar taxes, they will be shown at checkout and added to the price.

7. Your content; visibility and sharing

Ownership and license. "Content" means what you enter into the Service (topics, protocols, decisions, notes, uploaded files) and the outputs the Service generates for you from it. You keep all rights you have in your Content. You grant us a limited, worldwide, non-exclusive license to host, copy, process, transmit and display your Content only as needed to provide, secure, support and maintain the Service for you and, if you share a run, to let other users view it. We will not use your Content to train AI models.

Private by default. Each run you start is private to you. If you choose to share a run, it becomes visible to every signed-in SynthGap user, and because anyone can create a free account you should treat a shared run as effectively public. Other users can see your username as the run's owner and everything stored in the run: its topic, protocol, search strategy, screening decisions, extracted data, risk-of-bias assessments, results, write-up, and the extracted text of full-text documents attached to its studies. You can switch a run back to private at any time. That stops new views but cannot undo what others have already seen or copied. Share only runs that you are comfortable making visible in this way and that contain nothing you lack the right to share.

Deleting runs. You can delete any run you started, at any time, from your history or from the run's own page. Deleting a run permanently deletes everything in it, including uploaded files, and if the run was shared it disappears for everyone who could see it. This cannot be undone.

Uploads. You are solely responsible for having the legal right to upload any file you submit, for example an article you can access through your institution or a personal subscription. We store uploaded files (and the text extracted from them) in your run and use them only to provide the Service to you, subject to the sharing rules above.

No patient-identifiable information. The Service is designed for published literature. Do not upload or enter information that identifies a patient or other individual, or other protected health information.

Our access and removal. We do not look at your private runs except when needed to operate, secure and support the Service (for example, to investigate a failed run or abuse) or to comply with law. We may remove or disable Content that violates these Terms or that is the subject of a valid copyright complaint (see our Copyright & DMCA Policy). To produce your results, your Content is processed by the AI and infrastructure providers listed on our Subprocessors page.

9. Our intellectual property; feedback

The Service, including its software, design, workflows, prompts and methodology implementations, belongs to SynthGap and is protected by intellectual-property laws. These Terms give you a limited, non-exclusive, non-transferable right to use the Service; they do not transfer any ownership to you. If you send us suggestions or feedback, you grant us the right to use it without restriction or obligation to you.

10. Third-party data and services

The Service relies on third-party infrastructure, AI providers and data sources, including the U.S. National Library of Medicine's PubMed and PubMed Central. That data, and any articles retrieved through it, remain subject to the provider's and the publisher's own terms and licenses. We are not responsible for outages, errors or changes in third-party services that affect the Service.

11. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED OR STATUTORY, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE AND NON-INFRINGEMENT, AND ANY WARRANTY THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE OR SECURE. YOU USE THE SERVICE AND RELY ON ITS OUTPUT AT YOUR OWN RISK, SUBJECT TO YOUR DUTY UNDER SECTION 8 TO VERIFY ALL AI-GENERATED CONTENT.

12. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, SYNTHGAP AND ITS OFFICERS, EMPLOYEES AND SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF DATA, PROFITS OR RESEARCH OUTCOMES, ARISING FROM YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF THESE TERMS OR THE SERVICE WILL NOT EXCEED THE AMOUNT YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM AROSE (OR US$100 IF YOU HAVE NOT PAID US ANYTHING).

Nothing in these Terms excludes or limits liability that cannot be excluded or limited by law, including liability for fraud or for death or personal injury caused by negligence, or affects mandatory consumer rights where you live.

13. Indemnification

To the extent permitted by law, you agree to indemnify and hold SynthGap harmless from claims, damages and expenses (including reasonable legal fees) arising from your violation of these Terms, your Content, or your use of the Service in breach of applicable law.

14. Suspension and termination

You may stop using the Service at any time, and you can delete your account yourself whenever you like: choose Account in the top bar, then Delete account. Deleting your account permanently deletes your Content, cancels any subscription immediately (the unused part of the period is not refunded unless our Refund & Cancellation Policy says otherwise), and cannot be undone. You can also cancel a subscription without deleting your account (Section 5). See our Privacy Policy for what is deleted. We may suspend or terminate your access if you breach these Terms, if you fail to pay, or if we are required to by law, and we may discontinue the Free plan or the Service as described in Section 17. When your access ends, your right to use the Service ends immediately. Sections that by their nature should survive (including 7, 9, 11, 12, 13 and 15) do survive.

15. Governing law and disputes

These Terms are governed by the laws of Cyprus, without regard to its conflict-of-laws rules. Subject to any mandatory rights you have under the law where you live, the courts of Cyprus have exclusive jurisdiction over disputes arising from these Terms or the Service. Before starting a claim, please contact us at support@synthgap.com and give us 30 days to try to resolve it informally.

16. Changes to these Terms

We may update these Terms and the Policies. For material changes we will give notice in the Service and ask you to accept the updated version before you continue using it; we record the version you accept. If you do not agree, you can stop using the Service and cancel any subscription before the change takes effect for you. Non-material changes (such as correcting typos) take effect when posted.

17. Changes to the Service

We may modify, suspend or discontinue any part of the Service, including the Free plan, at any time. If we discontinue the Service as a whole we will give reasonable advance notice and, where feasible, a chance to export your data.
